Welcome to Hiking Friends Travel Nepal Pvt. Ltd. (hereinafter referred to as "the Company"). By using our website, booking our services, or engaging in any activities provided by the Company, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.
Booking and Payment Terms
Booking Process:
All bookings must be made through our website, email, or authorized representatives.
A deposit of 10-50% of the total trip cost is required at the time of booking to secure your reservation.
Final Payment:
The remaining balance must be paid at least a days before the trip departure date on arrival. Failure to do so may result in cancellation without refund.
Payment Methods:
We accept payments via bank transfer, credit card, or other methods as specified at the time of booking.
Cancellation Policy
Cancellation by the Client:
Cancellations must be made in writing.
If you cancel your booking, the following charges will apply:
5% of the total trip cost if canceled 5 days before departure.
15% if canceled before 1 day of departure.
Cancellation by the Company:
The Company reserves the right to cancel any trip due to unforeseen circumstances (e.g., natural disasters, political instability, insufficient bookings). In such cases, you will be offered an alternative trip or a full refund of the trip price.
No Show:
Failure to show up for a scheduled trip will result in the loss of the full payment.
Insurance
Mandatory Travel Insurance:
Clients must have comprehensive travel insurance that covers medical expenses, personal injury, repatriation, and evacuation in the event of an emergency.
Liability:
The Company will not be held responsible for any claims relating to loss, injury, illness, or death incurred during the trip.
Health and Fitness Requirements
Medical Conditions:
It is the client’s responsibility to disclose any pre-existing medical conditions that may affect participation in the trip.
Fitness Level:
Certain trips may require a specific level of fitness. You are responsible for ensuring that you meet the fitness requirements of the trip you are booking.
Health Precautions:
You are advised to consult a doctor before booking to ensure that you are fit to participate in the chosen activity, especially for high-altitude trekking and adventure activities.
Liability and Risk Acknowledgement
Inherent Risks:
The Company offers adventure trips that may involve inherent risks (e.g., injury, illness, loss). By booking a trip with us, you acknowledge and accept these risks.
Liability:
The Company will not be held responsible for any losses or damages incurred by circumstances beyond its control, such as natural disasters, political unrest, or changes in itinerary due to weather conditions.
Trip Itinerary
Itinerary Changes:
While we strive to adhere to the planned itinerary, circumstances such as weather, road conditions, or other local factors may require changes.
Alternative Arrangements:
In the event of unforeseen changes, we will make alternative arrangements where possible, but we will not be responsible for any additional costs incurred.
Client Responsibilities
Compliance with Laws:
Clients are required to comply with local laws, customs, and travel regulations during the trip.
Behavior:
The Company reserves the right to remove any participant whose behavior is deemed disruptive or harmful to the group or the local community.
Complaints and Disputes
Complaints:
If you have a complaint during your trip, please notify your guide or a Company representative immediately so that we can address the issue.
Dispute Resolution:
In the event of a dispute, the matter will be governed by the laws of Nepal, and any legal proceedings will be conducted in the jurisdiction of Nepal.
Privacy and Data Protection
Data Collection:
We collect personal data necessary for trip bookings and services. By providing your personal information, you consent to its use for these purposes.
Data Protection:
The Company is committed to protecting your personal information and will not share it with third parties unless necessary for the execution of your trip or required by law.
Force Majeure
The Company will not be liable for any failure to perform its obligations where such failure is due to circumstances beyond its control, including but not limited to natural disasters, strikes, war, or other unforeseeable events.
Amendments
The Company reserves the right to amend these Terms and Conditions at any time without prior notice. Any changes will be effective immediately upon posting on our website.
